Who is responsible for your information
EAGLE Strength & Performance (EAGLE SP) provides in-person and online personal training. Sehbaz, Founder & Owner, is responsible for privacy enquiries and the handling of client information.
This policy applies to information collected through our website, Member App, consultation process and coaching services.
Information we collect
Depending on the services and features you use, we collect:
- Contact and account information, including your name, email address, optional phone number and account identifiers.
- Training goals, experience, preferences, workout records, body weight, measurements, food logs and appointment requests.
- Health intake and PAR-Q+ responses, relevant conditions, medications, injuries or exercise limitations, emergency contact details, and signed screening or consent records.
- Optional check-in photographs, their dates and captions, and information embedded in the original image file.
- Messages, consultation enquiries, membership status and payment-related records.
- Technical information needed to operate and protect the service, such as session information, device or browser information, security logs and notification tokens when notifications are enabled.
Provide only information relevant to your training. Photographs may contain embedded details, including location information, depending on your device settings. Remove details you do not want to share before uploading.
How we use your information
We use your information to respond to enquiries, manage your account and membership, assess exercise readiness, develop and adjust training, review progress, communicate with you, arrange sessions and maintain service and consent records. Technical information supports sign-in, service operation, troubleshooting and security.
Information relevant to health and exercise readiness helps us identify when professional medical advice or clearance may be needed. EAGLE SP does not use your information to provide medical diagnoses.
We do not sell client personal information. We will explain a materially different use and obtain additional consent where required before using your information for that purpose.
Check-in photographs and your choices
Check-in photographs are optional. They are used to review physical development and support coaching. You may continue training without uploading photographs and discuss other ways to assess progress with Sehbaz.
Within the Member App, photographs are accessible to the account that uploaded them and the authorized EAGLE SP coach account. They are not publicly displayed or made available to other members. Service providers process and store them as described below.
You retain ownership of your photographs. Consent to coaching review does not permit public use. We will not publish your check-in photographs or use them in advertising, social media, testimonials or before-and-after promotions without your separate, express permission for the specific use.
Individual photographs can currently be deleted through the website’s progress gallery. If you use the native app, open the website to delete saved photographs or contact Sehbaz for assistance. You may withdraw consent to future photo collection or use at any time, subject to any information we must retain for lawful purposes.
Service providers and storage
We use service providers to operate EAGLE SP. These include Supabase for account authentication and Cloudflare for website hosting, application data and file storage. Payment and notification providers process the information needed for those features when enabled; payments made through Stripe are processed by Stripe.
Supabase processes sign-in information; Cloudflare stores application records and uploaded files; Stripe processes payment information when checkout is enabled. Notification services receive delivery information, such as device tokens and notification content, when enabled.
Providers may process or store information outside Canada. Information processed abroad may be subject to the laws of that jurisdiction, including lawful access by authorities. EAGLE SP remains responsible for the personal information handled on its behalf.
We may disclose information where required or permitted by law, including to respond to lawful requests or address a serious safety issue. Any disclosure must be appropriate to its purpose.
Safeguards and browser storage
The Member App requires sign-in, restricts access to client records and checks authorization before serving check-in photographs. Photograph responses are marked private and are not intended for shared browser caching.
We use reasonable safeguards appropriate to the information involved. No online service can guarantee absolute security. Protect your password and device, avoid shared accounts and contact us if you believe someone has accessed your account without permission.
The service uses cookies and browser storage for sign-in and session management. Hosting providers may also use security cookies. These functions help keep accounts and the website operational; disabling them may affect access.
Retention and deletion
We retain information for as long as reasonably needed for the purposes described in this policy, including ongoing coaching, account administration and applicable legal, accounting or dispute-related obligations. We do not assign every record the same retention period.
There is currently no automatic expiry or deletion schedule for check-in photographs. Cancelling a membership does not automatically delete the account or its history. Contact us if you want account information removed.
Deletion through the website removes the photograph from active photo storage and its progress record. It does not remove copies previously downloaded to a device or copies a service provider may retain under its own backup and retention processes.
Where some information must be retained, we will explain the reason when responding to your request. Information no longer needed is subject to manual review for deletion or de-identification.
Access, correction and consent
You may request access to the personal information we hold about you, ask for corrections, raise a privacy concern or withdraw consent to a use that depends on consent. We may need to verify your identity before acting on a request.
We will explain any legal limit on a request and any effect on the service. For example, some health and account information is necessary to assess exercise readiness and deliver personalized coaching. Optional photo sharing is separate from that information.
If you are under 18, contact Sehbaz before registering or submitting health information or photographs so that appropriate consent and training arrangements can be discussed.
Contact and policy updates
For privacy questions, access or deletion requests, or concerns about how your information has been handled, contact Sehbaz at sehbazsingh99@gmail.com. You can also use our contact form. Do not attach photographs or detailed medical records to a general enquiry.
We will update the effective date when this policy changes and provide notice of material changes where appropriate. A policy update does not, by itself, authorize a new use of your photographs.
